Instructions for New York State Medicaid eMed eXchange billing
Step 1: Set-up - You must have an active ePaces account and have opened an eXchange inbox.
See February 15, 2005 instructions for ePaces enrollment.
Step 2: Log on to CHARTS
Run Program, Medicaid Part I Phase II 6/05 by typing: AR [ENTER], 3[ENTER], 2[ENTER], 14[ENTER].
This program replaces HIPAA1 and the screen should be filled in exactly the same way you would have in the past. Press [ENTER].
Run Program, Medicaid Part II Phase II 6/05 by typing: Type AR [ENTER], 3[ENTER], 2[ENTER], 15[ENTER]
This program replaces HIPAA2 and you should leave the screen exactly as it is initialized. Press [ENTER]
Log out of CHARTS or minimize the screen.
Step 3: Connect to Internet to send the file
Launch Internet Explorer or connect to the internet via a dial-up provider such as AOL or MSN.
Go to www.eMedNY.org
On the right side of the screen click on Login eXchange.
If you get a security warning click "yes"
At this point click on "Favorites" and choose "Add to Favorites". This will add "eMedNY Login" to you favorites so that you can use it in the future.
Type your user-id and your password. Remember that the password is case sensitive.
Click on the "I have read and agree..." statement.
Click on Agree/Login
You will now be in your in-box.
Click on Send A Batch
Before clicking on "Browse" change Batch Type from "eligibility" to "institutional claims".
Click Browse and find the file to be sent. This is usually in your local C drive in the Medicaid folder. Click on the file named Medhipaa.dat.
Click on Send
You will receive confirmation that the file was uploaded.
If a message "Inbound Transmission Not Allowed" appears it is an indication that your inbox has not been opened. To correct this situation call 800-343-9000 and ask them to open an eXchange mailbox "inbox". It will usually take them 3 - 5 days to open the mailbox for you.
Exit the program and wait about 1/2 hour.
Step 4: Log on to the Internet to retrieve preliminary results.
Use the favorite from step 3 above to login to eMedNY. You will now be in the in-box.
Look for a file with today's date that begins with an "F"
Click on the file. At the end of the record it should say: "*** FILE ACCEPTED FOR FURTHER PROCESSING ***"
Wait 24 hours.
Step 5: Call CSC or alternately log on to the Internet to retrieve final results.
Call CSC:
Twenty-four hours after submission call CSC at 800-522-1892
Press 1 for Claims and Remittances, then press 2 for Institutional
You will need to tell them your TSN number and provider number.
Check that a few claims were paid by giving them Medicaid #'s and dates of service.

Use the favorite from step 3 above to login to eMedNY.. You will now be in the in-box.
Look for a file with today's (or yesterday's) date that begins with an "R"
Click on the file. At the end of the record it should say:
"AK*5*A" and "AK*9*A". This means that the file was accepted.
