Ask Michelle, # 1
Q. How can I add a new user for CHARTS? How do I control which programs the user can access?
A. First, find out the user’s id to access the network. (The network name is the user id that comes up right when the computer is turned on.) For example, michelle. The first three letters of that name will be the user’s name in CHARTS. In our example, the CHARTS user name would be mic. (This will always work, unless your facility uses eight character user names. To find out, go to NHOP or UP, 11, and check what it says by option 1. If there is a Y there, then you are using eight character user names. In that case, the user name in our example would be michelle.)
Log in to CHARTS as a user with administrative rights. Go to NHOP, check option 1. If set to Y, then your facility is opting to use 8-character usernames. If set to N or blank, then your facility is using 3-character usernames.
Adding . . Go to ATF, 18, 4. Type in the new user’s username (first 3 or 8 characters of that user's windows logon, depending on the option in NHOP) and press ENTER. Alongside each module’s name, there is a blank space. Put a U there if you want the user to have access to that module to have update privileges, or leave it blank to deny access. If you want the user to be able to see everything in that module, but not make any changes, then put an I on the blank space. On the bottom portion of the screen, set the Print Class to the appropriate letter (or L to print to the windows default printer). Press ENTER. The next screen allows you restrict or unrestrict access to a specific menu within a module. Press Enter to save. (Press end to get out of the screen, but only after you have saved it!)
Changing . . To make any changes to a user’s security, go to CTF, 18, 4, type in the user id, and press enter. Now you can change anything on that screen. When you are done, press enter to save it. If CHARTS is already on the user’s computer, he/she should now be able to start working.
Q. How can I add a new user for VISUAL?
A. Double-click on your VISUAL shortcut. On the top right, click Setup. Log in with your userid and password (note: this will only work if you are an administrative user in VISUAL). Click the Users button. Click the second option, 'Create a User.' The following screen will appear:
The 'Password' field is case-sensitive.
The 'Printers' fields apply only if you are using the Print Forms module.
The 'Activity Within' field allows you to set which residents that user will be able to access. We recommend selecting 'Last Fiscal YTD.'
The following fields apply only to facilities using our EMAR and CPOE modules: 'Member of department,' 'Default department,' 'CPOE/EMAR rights.'
The last field, 'Set as default facility' should only be checked if this user will be accessing only this facility. If the user will be accessing more than one facility using this shortcut, then do not check the box by this field.
Click the 'Setup User' button to save.
