Abstract
This Patch Contains:
1) An update to the print W2's program.
2)The latest updates to The Medicaid HIPAA 835 Cash Remittance programs.
Medicaid HIPAA 835 Cash Remittance Tape Download Update
This section applies only to New York State facilities that are currently receiving cash remittance tapes from Medicaid.
Several of our clients have been receiving electronic cash remittances from Medicaid on tape. Those remittances were posted is the past electronically with minimal user intervention.
New York State Medicaid has set a deadline of February 2, 2005 for submitters currently receiving their Remittance Advices electronically on the old proprietary format to convert to the HIPAA-compliant 835 Health Care Claim Payment Advice. The proprietary format that you are now receiving will no longer be available after that date. Submitters will still have the alternate choice of receiving paper remittance advices.
To assist you in your conversion, we urge you to request dual remittance advices (both proprietary and HIPAA 835) by contacting CSC’s EMC Control Unit at (518) 447-9256 or by visiting their website at www.nyhipaadesk.com. Look under the "News & Resource" tab, select "Registration Information/Trading Partner Resources", then "HIPAA 835/820 plus Proprietary Tape Remittance Application". Check off 'Hipaa 835 Plus Supplemental'. Line items 7 thru 11 can be left blank since by definition you are already receiving cash remittances by tape.
When eMedNY Phase II is implemented, planned for March 2005, remittance advices will no longer be supported on tape or cartridges. HIPAA remittance advices will be delivered as electronic response files through the eMedNY eXchange. You may enroll now in eMedNY eXchange. However, remittance advices will not be available on eMedNY eXchange prior to Phase II. To find out more about eMedNY eXchange visit the eMedNY website at www.eMedNY.org.

With the HIPPA 825 Health Care Claim Payment Advice the format of the electronic tape remittance file has changed. The new CHARTS software required to process these files is included with this update.
IMPORTANT: Please note that Medicaid will now provide you with two files:
1) One file contains all Paid and Denied Claims - HIPAA 835 Format
2) The other file contains all Pending Claims - Supplementary File Format
Make sure that the software you are using to retrieve the files from the tape, downloads both of these remittance files.
After the files are downloaded use the following new CHARTS programs to download the remittance files:

The remainder of the download process remains the same. After processing each file individually use the Post Room and Board Receipts program [AR, 4, 2] to post the records into your CHARTS Accounts Receivable file.
